1. Parties & acceptance
These Terms of Service ("Terms") are a binding contract between you ("you," "your") and Mailcedar Mail Ltd., a corporation organized under the laws of British Columbia, Canada, with offices at 214 – 470 Granville Street, Vancouver, BC V6C 1V5 ("Mailcedar," "we," "us," "our").
By creating a Mailcedar account, using our website, or using the Service in any other way, you agree to be bound by these Terms, our Privacy Policy, and our Acceptable Use Policy. If you don't agree, please don't use Mailcedar.
If you're using Mailcedar on behalf of an organization, you confirm that you have authority to bind that organization to these Terms, and "you" then refers to the organization.
2. Your account
2.1 Eligibility. You must be at least 13 years old to create an account (or 16 in jurisdictions where that's the minimum). If you're under the age of majority in your jurisdiction, your parent or legal guardian must agree to these Terms on your behalf.
2.2 Accurate information. When you sign up, you'll tell us your name, recovery email, and choose a password. You agree to keep that information accurate. You're responsible for what happens through your account, including any actions taken by people you allow to use it.
2.3 Security of your account. Keep your password and any second factor secret. Notify us promptly at security@mailcedar.com if you suspect unauthorized access. We are not responsible for losses arising from compromised credentials you failed to secure.
2.4 One account per person. Free accounts are limited to one per natural person. Plus and Pro plans may have multiple addresses but should reflect one paying customer.
3. The service we provide
Mailcedar provides hosted email service, including:
- Mailbox storage and routing for incoming and outgoing messages.
- Webmail, IMAP, SMTP, JMAP, CalDAV, and CardDAV access.
- Calendar and contacts.
- Custom domain configuration (on paid plans).
- Alias addresses, Sieve filtering, and related tools.
We may add, modify, or remove features over time. We'll give you at least 60 days' notice before removing a feature that you actively rely on (defined as: you've used it in the last 30 days).
4. Fees, billing & refunds
4.1 Plans. The free plan is, well, free. Plus and Pro are paid plans at the prices shown on our Pricing page. Prices are in Canadian dollars unless otherwise noted.
4.2 Billing. Paid plans are billed in advance, monthly or annually as you choose. We use Stripe for credit card processing. Canadian customers can also pay by Interac e-Transfer.
4.3 Renewal. Plans auto-renew until you cancel. You can cancel any time in Settings → Plan. Cancellation takes effect at the end of the current billing period.
4.4 Refunds. If you're not satisfied within 30 days of your first payment, email billing@mailcedar.com for a full refund — no questions. After 30 days, we offer prorated refunds on unused months of annual plans. Monthly plans are not prorated mid-month.
4.5 Price changes. If we raise the price of a plan you're on, we'll notify you at least 60 days in advance. The new price applies on your next renewal. You can cancel before the renewal at no cost.
4.6 Taxes. Canadian customers will be charged applicable GST/HST/PST/QST. Other customers are responsible for any taxes that may apply in their jurisdiction.
5. Your content and our role
5.1 You own your mail. The mail in your Mailcedar account belongs to you. We don't claim any rights to it. We process it only as necessary to deliver, store, and provide you access to it.
5.2 Our limited license. You give us a limited, non-exclusive, royalty-free license to host, store, transmit, and display your mail solely to operate the Service for you. This license ends when you delete content or close your account.
5.3 No data mining. We will never scan your mail to build advertising profiles, train AI models, or sell to third parties. The full list of what we do see (and don't see) is in our Security page and Privacy Policy.
5.4 Backups. We keep encrypted backups of mailboxes for up to 60 days. These are also yours. They are deleted when you close your account.
6. Acceptable use
You agree to the Acceptable Use Policy, which is incorporated by reference into these Terms. The short version: don't use Mailcedar to send spam, harass people, distribute malware, infringe copyrights, or break the law. We respond to abuse reports and will suspend accounts that violate the policy.
7. Privacy & security
Our handling of your personal information is governed by our Privacy Policy. For business customers requiring a Data Processing Addendum under GDPR, see our DPA.
We implement industry-standard security measures, including encryption at rest, encryption in transit (TLS 1.2+), per-mailbox encryption keys, MTA-STS and DANE, and regular third-party security audits. No system is ever 100% secure, and we don't pretend otherwise.
8. Availability & support
8.1 Uptime. We target 99.95% availability over rolling 24-month windows for paid customers and best-effort for free customers. We don't currently offer a contractual SLA with credits; if that matters to your business, please contact us about a custom agreement.
8.2 Maintenance. Planned maintenance is announced at least 48 hours in advance on our Status page and via email.
8.3 Support. Email support@mailcedar.com. We aim to respond within 1 business day for paid accounts and within 3 business days for free accounts. Engineering rotates through support; you'll often be answered by someone who wrote the code.
9. Suspension & termination
9.1 By you. You may close your account any time in Settings → Account. We'll permanently delete all your mail within 30 days and your encrypted backups within 90 days. After that, nothing of your account remains on our systems.
9.2 By us, for AUP violations. We may suspend or terminate accounts that violate the AUP. We'll give you written notice and a reasonable opportunity to cure where the circumstances allow. For serious violations (spam, child exploitation material, malware distribution), we'll terminate immediately.
9.3 By us, for non-payment. If a paid plan fails to renew due to a payment failure, we'll notify you and retry. After 14 days of failed payments, the account drops to the free tier; after 60 days at the free tier with the account over the free-tier quota, we begin deleting oldest mail first, with prior email warnings at 14, 7, and 1 days.
9.4 If we close the business. If Mailcedar ever ceases operations, we'll give all customers at least 12 months' notice and an export tool. You will keep access to your mail until the shutdown date, and exports of mbox archives will continue to work afterward via a static site for as long as practically possible.
10. Warranties & disclaimers
The Service is provided "as is" and "as available." To the maximum extent permitted by law, we disclaim all warranties, express or implied, including any warranties of merchantability, fitness for a particular purpose, and non-infringement.
We do not warrant that mail will be delivered in any specific timeframe, that no message will ever be lost or delayed, or that the Service will be uninterrupted. We do warrant that we'll work hard and tell you the truth about what happened when something goes wrong.
11. Limitation of liability
To the maximum extent permitted by law, our aggregate liability to you under or in connection with these Terms is limited to the amount you paid us in the 12 months preceding the event giving rise to the claim, or CAD $100, whichever is greater.
We will not be liable for indirect, incidental, special, consequential, or punitive damages, including loss of data, loss of profits, or loss of business opportunity, even if we've been advised of the possibility of such damages.
Some jurisdictions don't allow these limitations, in which case they apply to the maximum extent permitted in your jurisdiction.
12. Indemnification
You agree to indemnify and hold harmless Mailcedar and its employees from claims arising out of (a) your breach of these Terms, (b) your violation of any law, or (c) any content sent through your account that infringes someone else's rights.
13. Governing law & disputes
These Terms are governed by the laws of British Columbia, Canada, without regard to conflict of laws rules. The exclusive forum for any dispute arising out of these Terms is the courts of British Columbia.
Before filing a formal claim, please write us at legal@mailcedar.com describing the issue. We'll engage in good-faith negotiation for at least 30 days before either side starts litigation.
14. Changes to these terms
We may update these Terms occasionally. If we make material changes, we'll notify all account holders by email at least 30 days before the change takes effect. Continued use of the Service after the change is in effect constitutes acceptance. If you don't accept, close your account before the change date and you'll keep the old Terms until your billing period ends.
Non-material clarifications (typos, broken links, formatting) may be made without notice.
